2. Information we collect
Depending on how you interact with Coast & Country Walking, we may collect:
Your name, address, email address, telephone number, date of birth, booking and activity information, payment and transaction information, emergency contact details, relevant health or medical information, photography and video preferences, communications with us, information required to administer 2026 membership, and technical information associated with use of our website where collected through Wix or associated services.
We only ask for health information that may reasonably be relevant to your safety or participation in our activities.

We may use personal information to process and administer bookings; take payments and maintain transaction records; send booking confirmations and joining instructions; communicate changes, cancellations or important information; administer 2026 membership; maintain participant and emergency contact information; help manage participant safety; respond appropriately in an emergency; deal with questions and complaints; maintain appropriate financial and business records; manage photography and video preferences; operate our website and booking system; and comply with applicable legal obligations.
4. Our lawful bases for using information
Depending on the circumstances, Coast & Country Walking may rely upon:
Contract – where processing is necessary to provide a walk, activity, membership or other service you have booked.
Legitimate interests – where there is a legitimate business or safety reason for processing information and this is not overridden by your rights and interests.
Legal obligation – where information needs to be processed or retained to comply with the law.
Consent – where you have specifically consented to a particular use of your information, including certain photography and video uses.
5. Health and Medical Information
Information concerning a person's health is special-category personal data and receives additional protection under UK data-protection law.
Coast & Country Walking asks participants to disclose relevant health information that may assist us in managing their safety during walks and activities.
Where we rely upon explicit consent to process this information, you will be asked separately to expressly consent to the processing of the health information you provide.
The information may be used to help Coast & Country Walking understand circumstances relevant to your participation or safety and, where necessary, to provide relevant information to emergency services.
Where processing relies upon consent, you may withdraw that consent by contacting andy@coastandcountrywalking.com. Withdrawal does not make processing carried out before withdrawal unlawful.
6. Emergency Contacts
Where you provide another person's details as your emergency contact, those details will be used for purposes connected with participant safety and emergencies.
Emergency contact information will not be used for marketing.
7. Payments
Online payments are currently processed using Square.
Square may process information necessary to complete and administer your payment.
Coast & Country Walking does not need to receive or retain your complete payment-card details simply to administer your booking.
Square has its own privacy and data-protection arrangements and may process information internationally using applicable safeguards.
8. Website and Booking Systems
The Coast & Country Walking website, online booking system, membership facilities and Participant Information & Consent Form are provided using Wix.
Information submitted through these services may therefore be processed and stored using Wix systems.
Wix operates internationally and information may be processed outside the UK. Where applicable, international transfers are subject to appropriate safeguards.
9. International Processing
Some service providers used by Coast & Country Walking operate internationally.
Where personal information is transferred outside the UK, applicable safeguards and transfer mechanisms are required under UK data-protection law.
10. Who we may share information with
Coast & Country Walking does not sell participants' personal information.
Information may be shared where reasonably necessary with providers operating our website, booking and payment systems; emergency services where information is relevant to an emergency; professional advisers where reasonably necessary; government, regulatory or law-enforcement bodies where disclosure is legally required; and other service providers where necessary to provide something you have specifically booked.
Health information will not routinely be disclosed to other participants.
11. Photography and Video
Photographs and videos may be taken during Coast & Country Walking activities.
Participants are asked separately whether they consent to appearing in photographs or videos used on our website, social media or other promotional material.
Where you have declined consent, Coast & Country Walking will take reasonable steps to respect that preference.
You can contact us if you subsequently wish to change your preference.
12. Marketing
Where Coast & Country Walking sends direct marketing communications, these will be handled in accordance with applicable data-protection and electronic-marketing requirements.
Where consent is required, you may withdraw that consent.
You can unsubscribe from marketing emails using the unsubscribe facility contained in those communications.
Operational communications relating to an activity you have booked, such as joining instructions, safety information, route changes or cancellation notices, are separate from promotional marketing communications.
13. How Long We Keep Information
We do not retain personal information for longer than reasonably necessary for the purpose for which it was collected.
Participant, emergency contact and relevant health information will normally be retained while you continue to participate in Coast & Country Walking activities.
Where a participant has not booked or participated in a Coast & Country Walking activity for 24 months, we will review whether there remains a need to retain this information.
Where there is no continuing need or other lawful reason to retain it, the information will be deleted or securely disposed of.
Other information, including booking, payment, accounting and financial records, may be retained for different periods where necessary for legal, accounting or legitimate business-record purposes.
14. Keeping Your Information Accurate
Participants should tell Coast & Country Walking when relevant information they have supplied changes.
This is particularly important for contact details, emergency contacts, relevant medical information and photography and video preferences.
You may ask us to correct inaccurate personal information.
15. Security
Coast & Country Walking takes reasonable measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to sensitive participant information will be limited to circumstances where it is genuinely required for administration or safety.
Information held using third-party systems such as Wix and Square is also subject to the security arrangements operated by those providers.
16. Your Data-Protection Rights
Depending upon the circumstances and the lawful basis being used, you may have rights including the right to be informed about how your information is used; access personal information held about you; have inaccurate information corrected; request erasure or restriction in certain circumstances; object to certain processing; data portability where applicable; and withdraw consent where processing is based upon consent.
These rights are not absolute in every circumstance.
